Falcon Flyers - Hot cocoa event, December 19
Thanks to Tera Stagg and Jessica Northrup for taking over the Falcon Flyers events.  Our first reward for kids is on Wednesday, December 19.  They will run a hot cocoa social.  Sounds yummy - thanks ladies!

Business office notes

Conference notes and changes:

We are receiving conference forms that are incomplete. All relevant information must be on the claim form along with attached documentation.  See the example linked here.

Also, in future, staff will be arranging their own travel and hotel for conferences instead of going through the business office. Sue and I will create procedures for them to follow. Staff will also include their specifics on MLP for administrators to approve in advance of the trip.  We will let you know when that is in place. In the meantime, the BO will continue to make the arrangements.


Budgeting:

It is time to start thinking about your 2019-20 supply budget. We hope you find this new process easier and more user friendly.

DCMO has updated its online requisition website which was available November 1. The new site is formatted and operates similarly to most online retail sites that you have already worked with. It is more user friendly with pictures available and a Cart to put your order into. You can also hold items for later review. There are 2 videos; one a webinar training for ordering and a hold contractual training to all budget requests other than supplies. This will replace the Budget Summary form that you have filled out in the past.

New log ins were required and created for each staff member.

A DCMO  Online Reqs Welcome Memo will be in your mailbox tomorrow. The Memo addresses how to locate and log-on to the Online Reqs Shopping Cart
Requisitioning Program. The memo will have each staff person's Name and Log-on with Password on the back of the folded memo.  Please put your log in information as well as the email of your supervisor in the space provided when you set up your account.

IF you did not receive a memo or have difficulty signing in, please contact Sandy Hauf. I will be meeting with staff in both buildings on December 4th to go over the budget.


New online budget system notes
  1. When filling out the Add On section, if you put a $ in the description, it will come up as $0 in the cart.  Please just double check your cart so that everything registers as the correct price before submitting.
  2. Please follow the same, separate process for all BOCES print shop orders.  They will be separate from the online ordering system.

Next Gen Standards

Important message from CTS

A South Seneca Faculty user recently received a fraudulent e-mail which looked very real, and prompted them to click on a link.  Although they were not expecting this message, and were suspicious, they were even more concerned that someone might be stealing their identity.  The link did contain a dangerous payload, which fortunately was recognized by antivirus software.  This will not always be the case.

The end user is the first line of defense against malicious software.  Please do not click links in e-mail if you are not very close to perfect certainty that you know the sender and intention.  The malicious senders use powerful psychology to get you to click.  Be stronger than that.

Google "My Maps" tool
I really like the My Maps tool that Google has.  I made this short video for forum.  Feel free to check it out (it's handy).

DCMO will be updating its online requisition website which is available November 1. The new site is formatted and will operate similarly to most online retail sites that you have already worked with. It will be more user friendly with pictures available and a Cart to put your order into. You can also hold items for later review. A link to training, if needed, will be provided in the next few weeks.

All ideas will be brought to the Board next month...please submit any ideas to the shared spreadsheet in Google sheets.

Schedule Ideas Committee
For anyone who would like to sit in on an initial schedule ideas meeting, we will meet next Tuesday during faculty meeting time.  Some people have asked me to include them in this committee.  I'll do that, but others are welcome.  The meeting will be in the board room. This meeting is simply a way for me to share a few ideas for consideration.

Missy or I will share the overall faculty meeting schedule for next Tuesday in the next few days.


P-Tech Academy going strong
I was recently talking with Trevor Sibley. His son Ryan is loving the P-Tech Academy.  Experiments can pay off for kids, and it's great to hear.  There is a short article about P-Tech on the latest BOCES Tribune. Click here for that story.

New Pictures Team Drive

Team drives in Google are fairly new, and they have several advantages over simple folders.  Under your "My Drive"link, click on the triangle next to your "Team Drives."  You all have contributor access to the Pictures drive.  If you're putting things in, please put them in the 2018-19 folder.  If you'd like to add sub folders (ex: Sports, Music, etc.), go ahead. If you have any questions, please let me know.

Substitute Challenges
I had left a message with a dean at Ithaca College, and he very kindly called me back.  What he mentioned was pretty scary. He told me that colleges in the state are only training half the future teachers needed in the next five years.  In other words, sub issues across the state will get worse before they get better.  If you communicate with any former students, let them know that teaching might be worth considering.

Here's what we have so far (from Mike Pliss):
The CNYRIC is sending someone to be in Ovid 3 of the 4 days that we needed coverage.

  • Lori is in Interlaken Monday - Thursday (Monday she is only in during the AM).  You can email Lori or you can do a help ticket. 
  • Denny is on vacation Monday-Thursday and is expected back Friday 10/19.
  • CNYRIC employee Chris Pedley will be here Monday 8-4. He can be contacted by email at CPedley@cnyric.org.
  • There will NOT be any additional coverage on Tuesday 10/16. No one will be in CTS in Ovid on this day. Report any major issues to Helpdesk@Cnyric.Org or by calling 315-433-8345.
  • CNYRIC employee Phil Doherty will be here Wednesday and Thursday 8-4.  He can be contacted by email at PDoherty@cnyric.org.

An Important Notice on Student Chromebooks

From Monday- Thursday, students with broken Chromebooks should be directed to check in with Tim H. or Missy first to request approval to check out (and if approved by Tim/Missy allowed to take home) a temp replacement Chromebook from the HS LIB. CTS will later collect the broken student Chromebooks received by the HS LIB and work to provide a permanent replacement Chromebook for each student.

Susan Kuck from CNYRIC will be here on October 19 to run people through their BEDS entry.  This will make things easy.  For those of you who will be at other events, we can arrange for Sue to come back.  Sue has done these trainings for years, which helps people to put in accurate info right away.

Clarification on PD hours for the state
Missy spoke with Barry Derfel from BOCES. Keeping track of hours is everyone's personal responsibility.  At the end of your obligation time (3 or 5 years), you will get a message from the TEACH system asking if you have completed required hours.  You check yes, and just be prepared to prove it if audited. On our end of things, events will be in MLP.  I'm working on making that process work most efficiently.  If anyone needs help, please see me.

Go Guardian Web training on Oct. 19
I will share several links for self-training for October 19.  Rob went through the videos, and he tells me they are quite helpful.  We should be able to get this program up and running with good understanding.

Kim will be working with a single teacher until 10, and she can answer any questions until 10:30.  I'll have her in the library.

Substitute issues
Some folks have wondered how we're dealing with our substitute shortage.  Here is a plan that we have in place.  We'll continually update it as we're able to make improvements. I appreciate everyone's patience as we're doing the best we can considering the shortage.  Hopefully I'll be able to hire another 186 sub very soon and add to our substitute pool. No person is more frustrated than I am, so thanks for understanding.

Last week, I did not mention that the faculty lounge has a universal lock core.  That room was already done.  There is a problem with room 110's lock core, but Todd is working on it.

Addition to Electronic Devices in the Code of Conduct
I just added some language to the Electronic Devices section.  See below or click the code link in the title.

Concerning the use of a device during a learning lab, please do not allow any use for students on restriction. This will hopefully put some friendly pressure on them to get off of restriction. If any teams would like this written into the code, please let me know.

Update on Kajeet Smartspots
For those of you who haven't heard, we have purchased some Kajeet Smartspots so that kids without Internet access at home can use their Chromebooks.  Today, Mike Pliss successfully configured and connected to a Kajeet with a laptop.  On Friday, he hopes to get a handle on restricting access to a single Chromebook.  So we're making some progress, and we hope they'll be in kids' hands shortly.

BEDS day(s)
No silly, not that kind of bed, it's basic educational data we're talking about! Although a Falcon bed race down Main Street might be fun.

This year's Beds Day is October 3, 2018.  That is the day that teacher's may start entering data in the electronic Personnel Master File (ePMF) system.  The cutoff date is December 14, 2018 for staff to enter their data.

Instructions for Teachers:

Where to find the ePMF form:

The teaching ePMF form is completed electronically and can be found after logging into the Teacher Access and Authorization (TAA) account at https://eservices.nysed.gov/taa.  (Note:  If the teacher logs in and doesn't see an ePMF form the ePMF form will not be visible in TAA until a valid Staff Snapshot record with Field 8 indicating "TEACHER" for 2018-19 is uploaded to Level 2.  Check with your Administrator.)

Editing data after entry:

You may only edit your assignment data.  If you "Save" the data, you can return to it at a later date.  You must finalize your form by clicking "Save and Submit," which will lock your form to editing except for administrators who can "Unsubmit" to fix errors and "Resubmit" to finalize the changes.

Assignment Code booklets will be available in hard copy in the office along with "Frequently Asked Questions" documentation. We can also have the Administration Manual available which is helpful as a user guide for other questions that arise.

To ALL Middle School Teachers and Staff:  

Team 7/8 is working on creating a stronger culture for our Middle School, including our overall theme for the year:  This is Me along with our monthly themes as well.  
Our goal is to incorporate multiple skills and perspectives into our planning as we have an eye on the overall development of the Middle School child.  
We wanted to be sure to communicate special events and plans as they are in the making... please look at the links included here and give input as needed on upcoming events/ plans.  We understand that not all of us get to sit at the team table, but we also know that everyone's input is valid and important to the big picture of Middle School.  

We are trying to also be mindful of too many class disruptions, however in order to include the Character Ed and "2nd Step" curriculum we realize that we all need to think out of the box as well.  Please feel free to email /contact any team member with ideas of how you can be involved in our planning and special focus days.

Inspiring a Passion for Computational Thinking happens on Friday, September 28th from 8:30 - 11:30 AM at Cornell University, 700 Clark Hall. Diane Levitt, the Senior Director of K - 12 Education at the Cornell Tech Campus (https://tech.cornell.edu/people/diane-levitt/), will lead an important conversation about computational thinking. Diane works collaboratively with New York City Schools students to develop computational agency to build meaningful digital creations.

New Organizations page
I regularly receive printed newsletters from organization such as Science Teachers Association of New York State and others, so I've started a page linked to the left.  If you have any organizations you'd like to have linked here, please let me know.

Observations
We will be starting up observations soon. We will have 2 observations during the school year - 1 announced and 1 unannounced.  For the announced observation, I will need the pre-conference form completed, lesson plan and any artifacts you would like to submit.  All observations will be conducted through My Learning Plan (MLP).

If you'd rather use the pre-observation form, that's OK.  It's linked here and from the master contents. It's a Word doc. Once you have it open in Google Drive, you can click the download button in the upper right.  Better yet, just use MLP - it's easy!

From CTS - Google Password Fun
Some confusion arises after a google password reset when the Chromebook still wants the old password.
Some fine points:
  • When a Google password is reset while the user is logged into a Chromebook with the forgotten password, the Chromebook asks for the old password after logon.
  • If the user has forgotten the old password, click the link that says "I forgot my password."
  • Then a screen pops up with some information and link that says "Proceed anyway."  Click "proceed anyway."
Slightly more:
  • The second login is protecting any information belonging to the local profile.  We do not need the old local profile.
  • Two things which may not be in the cloud in a local profile is the Downloads folder, which all came from the cloud in the first place, and possibly recently taken camera pictures that were not "saved as a file.

Chromebook notes

FYI- If any teachers need/want a couple of chrome-books for backup in their rooms, please do a Tech (CTS) work order -This will save time when students forget theirs.

The LMC is not signing out laptops to the students anymore, but we are signing out chrome-books if needed (beyond the backups in your rooms).

Music lesson reminder
Please make sure to allow students to attend their scheduled lessons. Lessons are curriculum tailored to the specific students in each group.  Students only get a lesson once every several days at most.  If they miss, they will be behind every other group.

Cumberland Regional School District, Bridgeton, New Jersey
Initiative: In the Freshman Seminar/Senior Mentoring program at Cumberland Regional High School, seniors are assigned ninth- graders to mentor. This peer support includes tutoring, and guidance in relationship-building, decision-making, social awareness and self-management. Seniors also conduct daily organizational checks, weekly conferences and notebook checks to help ninth-graders stay on track. “The program’s innovative nature has supported unprecedented success in the targeted areas of positive behaviors, academic success, absenteeism and on-time graduation,” says Lauren Taniguchi, the district’s coordinator of grants and communications.

I know it's been tough lately for many with the flood aftermath, but I hope you have been enjoying your summer. Since it's getting very close to another new school year, I'd like to share some things with you, so sit back, relax, and enjoy reading the information below. Master Schedule
Our master has a bold new look this year.  OK, it's a master schedule, and it's about the same.  Anyway, I have changed the looks of the links on the cover. Hopefully that will help.  Our files that are used most often are linked from the master's cover page.

Important Early Events

Pre-service days on August 29 and 30
Missy and I have been working diligently on planning for these days.  Our 2018-19 PD calendar is linked here so you can check the events workshops that are going on.  Please email either one of us with any questions or needed corrections about your particular events.

Superintendent's Conference Day, September 4
Plans for this day are also listed on the PD file linked above.

Family Festival (Open House) on Thursday, Sept. 6
Last fall, we saw some really good progress with our first ever Family Festival, which is our fancy name for the open house.  It helped that we brought in some community groups.  One grandparent told me it was the best such event she had ever attended.

We're making a few changes to the event this year:
  • All community groups will be in the gym lobby or atrium.  That will create a "Main Street" feel to the event. 
  • Earlier:  We're doing it during the first week of school. Hopefully, the freshness of the new year will hep even more with attendance.  The earlier time might also keep everyone focused on meeting each other and not thinking about grades. 
  • Minimal sports that night.  We have a home golf match that day, so one team will be affected versus several.

Falcon Friday (HS), September 7

  • I am currently working on a schedule for Falcon Friday (HS).  We will use either an early release or half day schedule based on the number of events we have. Remember that seniors will be on a trip that day.  We will have class meetings along with things like Chromebook handouts and a library presentation from Jody.  If you have any suggestions, please let me know asap, as I need to have the final time plan in place by the 29th.
  • One note on Chromebook handouts:  Seniors can get Chromebooks on Wednesday. Grades 9 to 11 will get them on Friday. A few people mentioned that handing them out on Wednesday would be best, but we need most students to have permission slips turned in first so that we're not scrambling for 3 days.  Handouts should be much smoother this year since groups will be smaller.

Brad Hurtig assembly, October 2
I am currently working on an adjusted schedule for the assemblies (separate MS and HS assemblies).  I'll get that out soon.  Brad's site is www.bradhurtig.com.  This should be a very good one.


Room Changes and Furniture Notes
I'm excited to share that several rooms will be sporting new room arrangements and some new furniture. Some teachers will be in a new location. Below is a summary, and I'll share some pictures when all the rooms are put back together.

  • MS Computer lab:  New arrangement that Jody loves. She's sure you'll like it too. 
  • Mike Putnam:   Mike has gone to tables inherited from Brad's old room.  Looks great!
  • Chad Eastman: New location in the previously unused science room. 
  • Brad Cartwright: New location in Chad's former room.  
  • Patty Parsons: New location in Brad's former room.  Patty received some new tables and chairs, which look great and should prove great for students. 
  • John Robertson: John also ordered some new tables and chairs.  We're hoping students love the changes. 
  • Flex lab:  We're putting several learning labs in the flex lab this year.  It has an updated seating arrangement, and we removed some extra chairs. It looks marvelous.

Google stuff
Here's a repeat of Karen's email (thanks Karen).

Google is going to be rolling out new changes to the program. Any new classes you create BEFORE the release of the updates will not get the changes. If you want the new changes, you must create your classes after the release. Release should be in a few weeks, but no exact date yet.

Hello Everyone,
   
As we round out the year, there are a few reminders.  Thursday the 21st is a full day. For Friday the 22nd, we have our annual recognition and end of year breakfast in Interlaken at 8, which is considered a work day as well.  For the MS/HS people, that day ends when you have completed the following:
  • Completed the forms from Kim Dresser and Karen Denmark
  • Met with Missy to be sure your end of year paperwork is signed (HEDI score, etc.)
  • Any forms for proctoring exams have been signed when applicable 
  • Submit any course outlines for next year
  • Submit any supply lists for publication on the website and/or messages home. 
All of these can be taken care of prior to next Friday. Please stop down and tend to these tasks as you're available and able. If you have any questions, please feel free to ask.

Falcon Camp and High School Falcon Day
The Middle School Staff is reducing Falcon Camp to two days from three. Many folks in the High School liked Falcon Friday, so I'm proposing that we do something similar this year, but possibly on Wednesday (first day).  It was a bit easier to plan this year because Falcon Camp was 3 days and Falcon Friday 1 (worked well with the rotation), but we should be able to still do it. Please let me know what you think (Wednesday, Friday, scrap it, change it, etc.).  If High School teachers have suggestions for the student meetings, please let me know.

Change to special room access
I have submitted a maintenance request to change the lock cores on several rooms.  The hall side lock core will be the same as your room's intruder core.  That way, you'll be able to get into these rooms without having to request a key or have someone else open the room for you. This will (in my opinion) actually enhance the security of those rooms since I've noticed them being unlocked several times when not in use.  Please be sure to lock the rooms up once you are done.  The rooms are listed below.  If there are others that I'm not thinking of, please let me know.
  • Flex lab
  • Board room (112) - quite a bit of LLab use
  • HS & MS computer labs
  • Guidance conference room
Master being sent out
I've been reviewing the master and sending the link to folks as things are completed for them.

I'll also ask our CTS folks to push it out to desktops like we did this year.  I like to think that some useful links were placed on the page this year.  If you'd like to see any formatting changes, now's the time to ask.  Thanks.

Any ideas to help kids with reading? 
Since we received the generous $50,000 gift from Dollar General, we've started thinking about what we could buy to help as many kids as possible.  We'll be trying to devise a detailed list this summer. If you have any ideas, please let me or Jody Gale know. Thanks.

Room cleaning and maintenance schedule
I spoke with Todd yesterday, and he gave me a general outline of his plans for cleaning, which includes waxing floors. If you plan to work in your room around one of the time frames listed below, you might want to call or email first.

  • MS second floor - mid to late July
  • MS first floor - first couple weeks of August
  • HS first floor - mid to late August
